Archive file is too Big!!!!

My archive.pst file is too big to fit on a 250mb zip disk.

I use Outlook

Can I subdivide it somehow?

On the PC concerned, I'm on Win98, and Outlook2000

I just use the standard Win98 backup utility.

Any suggestions?....... but I still want to use the zip/winbackup if poss.

No reason why you can't create another archive file and split the contents between them. Just use drag and drop to move the contents between the two files. I have 'archive' and a 'back burner' PST files in addition to the normal one.

I think his problem is that he's creating a single .pst file which is too big......you can't drag things out of a .pst file can you ??? I don't remember it behaving like a Zipped file but I may well be wrong. (and even with a .zip you need the right software to be able to dragand drop from within it)

Will.....I suspect your answer may be that you need to create two smaller files.....look at the options, IIRC you can select the folders you want to save....

Divide the emails up....I used to have several folders, one for 'personal', one for 'business' and another for general stuff (or similar anyway)....that way you should be able to save all of them in different .pst files (and name them accordingly)

I've got loads of email folders within Outlook: Work; Personal; Biking; Flights; Mailorder; Ukgser; Spain; Morocco; etc etc, but when I manually archive (or use Autoarchive, they're all combined into one file archive.pst

How would I send half the folders to archive.pst and the otherhalf to say archiveb.pst?

Absolutely yes. And then use properties -> advanced -> compact to compress it down again.

You could just create a backup copy on CD of the .pst file then delete the original. When you send stuff to archive the next time Outlook will create a new .pst file automatically. Then when/if you want to look back at archived stuff - file, open, outlook data file - navigate to CD

The way I work is to create additional outlook data files.
Go File >New >Outlook Data File and create a file called, say, willstatt-archive.pst

Outlook will then open the new file at the same time as your existing one. So you don't get confused which is which, right click on the new 'personal folders' file and go >properties >advanced, then change the name to Willstatt's Archive.

Now create folders in your archive to match your existing outlook - Filed messages, Sent items, and the subfolders under them.

Then go to your current outlook file, rename it as above to something like Willstatt's Current Folders. Then click on each of the folders, sort them into date order, select the messages you want to archive (say everything before 1-9-06) and drag and drop into your archive.

When you have finished, minimise the size of your current outlook file by right clicking, >Properties >Advanced >Compact.
