Charity Ride Advice please

At work we are aiming to have a small run - London to Brighton - calling in at our numerous offices on the way. All sorts of bikes/abilities/ages.

Between 6 and 30 riders probably.

Anyone aware of any "legal" stuff we should know?

At what number of riders should we tell the police?
If everyone says that they are legal, and then someone isn't, are we liable?
If so "Who" is liable - the organiser(s), company...?
Any hints and tips very gratefully received!

I've organised a Pet Run locally to where I've lived for about 18 years, firstly in Bedfordshire and the last ten years in Kent and after the first few when I religiously informed the local plod and got no reply (letter not email!) I gave up bothering until I moved to Kent. Once again I wrote on paper and Kent Police didn't reply.

As numbers have varied from 4 (!) to 34 bikes over the years (ebb and flow) we've not caused too much of a traffic problem and (touch wood) no one has had an accident or caused damage to a third party.

As the blog that was linked shows you may need to think of public liability insurance cover.

The Runs operate under the banner of the Kent Pet Run Association but are co-produced by the Kent BMF group and Suzuki OC as both are covered by the BMF's public liability cover.
 
I was involved in organising a charity run last Sunday in which we anticipated over 100 bikes. We contacted the local plod weeks ago to inform them and to give them chance to get involved and their response was totally underwhelming - as in none at all:nenau Drop them a line or give them a call by all means but don't be surprised if they don't come back to you.

Our experience so far was limited to advice "Dont do it" or getting ignored, sadly..
We tried both Hampshire and Dorset forces with the same results, they just arent interested.. And beware THERE MAY WELL BE A £££££ COST if they do attend/assist you, and its based on a per bike basis.. TBH each run we have done has been done without any input from them..

Thanks very much, guys. Looking in to it all now and awaiting the Met's response - if any.
Just re-joined MAG and BMF and will see what advice they can give.
